- All areas must remain accessible - including stands, rooms, doors, cabinets, drawers, safes and storage areas.
- Nothing should be locked or obstructed in a way that would prevent inspection.
- One authorised representative from each exhibitor/contractor team must be contactable and in a location close to the venue when the sweep is taking place in case MOI requires assistance or clarification during the inspection. We will be contacting you to obtain the name and contact details of your nominated person closer to the event dates. Failure to have someone available may mean that your stand cannot open to the public.

Wednesday 26 November from 20:00 through until 22:00 on Thursday 27 November | Space Only Stands are welcome to commence dismantling from 20:00 on Wednesday 26 November (providing the hall is clear of exhibitors and their staff) and continue to dismantle until 22:00 on Thursday 27 November. This is on the condition that all contractors follow the overnight/24 hour work terms and conditions below. It is compulsory for all contractors to be wearing appropriate PPE including Hi-Vis, Hard Hats and safety footwear. Dismantling will finish at 22:00 on Thursday 27 November . All stand fitting materials, structures, flooring and carpets must be removed from the venue by 22:00 on Thursday |
- Approval & Compliance. All activities must comply with DECC venue regulations, GSMA guidelines and local health and safety laws
- Contractor Representative. A senior representative from the appointed contractor must be present at all times during overnight work. This individual will act as the primary point of contact for safety compliance and emergency issues.
- Shift Patterns and Welfare. Contractors must implement structure shift rotations to prevent fatigue, with a maximum shift length of 8 hours per worker and adequate time for rest. Workers must receive scheduled breaks every 2 hours. Adequate facilities for rest, hydration and nutrition must be provided. Contractors must ensure access to drinking water and suitable food options throughout the night.
- Health & Safety Overnight. Contractors must provide induction and relevant training for all personnel covering safety rules, common hazards, emergency procedures, medical provision and wellbeing. Contractors must provide PPE, including High-Visibility vests and helmets which must be worn at all times. Adequate lighting must be installed if necessary to ensure visibility and reduce hazards. Work areas must be kept tidy and aisles must be kept clear at all times.
- Exhibitor/contractor vehicles should report to the holding area where they will be issued with an official DECC Loading Dock Pass. The DECC Move-in/Breakdown Loading Dock Pass must be completed and clearly visible in the front windscreen of the vehicle
- All stands must be broken down and ready to load before vehicles are permitted to enter the loading dock. Exhibitors/contractors are asked to inform the marshalling staff in the loading dock that they are ready to load with details of the vehicle. This will be communicated to the holding area and the vehicle will be sent to the loading dock once suitable space is available. All vehicles must wait in the truck marshalling yard until called to the loading dock.
- All traffic must enter DECC loading area through Omar Al Mukhtar Street located in the Diplomatic Area. The service road is one-way and is deemed a tow-away zone to ensure continuous and clear flow of traffic.
- Movement of vehicles on the loading zone is strictly one way and there is a maximum speed limit of 10 km/h.
- Under no circumstances can any truck or trailer be left in the loading docks. Once the truck is unloaded, the vehicle must be moved out of the venue. Abandoned vehicles, or those exceeding the unload time period may be towed away from site if the are hindering access to the loading dock.
- Parking on the service road or pedestrian footpath is not permitted at any time.
- It is a condition of entry to all who require access to the loading docks that vehicles, equipment and personal belongings may be randomly searched by DECC security upon entering and exiting the loading docks.
- Please note that a marshalling fee will apply, payable at the Marshalling Yard on arrival
